What to expect when working with a professional video production company

From the initial meeting to final delivery, discover the stages of a professional video project and your organization's role.

For an organization, starting a video project can seem complex. Several questions quickly arise: who writes the script? How does the shoot work? How much time should be set aside? What happens if multiple people need to approve the video?

A professional production company should guide you through every step and make the process predictable.

1. Project discovery

The first conversation shouldn't just be about asking for the video length and shoot date. The company will seek to understand your organization, the problem to be solved, the target audience, the key message, distribution platforms, expected results, deadlines, budget, and the people involved in the approval process.

The provider may challenge some of your initial ideas. This is often a good thing: their role is also to recommend the most effective format.

2. Recommendation and proposal

Based on this information, the company should propose an approach tailored to your goals and resources. The proposal will generally specify the concept, stages, responsibilities, number of days, team, deliverables, timelines, revisions, and budget.

A good proposal should be detailed enough to avoid surprises while remaining understandable to someone who doesn't work in the industry.

3. Pre-production

Pre-production turns the idea into a concrete plan. Depending on the project, it may include:

  • concept development;
  • scriptwriting;
  • interview preparation;
  • storyboarding;
  • location scouting;
  • participant selection;
  • scheduling;
  • permits and technical coordination.

Your team will need to provide certain information, confirm messages, and facilitate access to people or locations. The earlier decisions are made, the more efficient the shoot will be.

4. The shoot day

The crew typically arrives before the participants to set up cameras, audio, and lighting. For interviews, the director helps participants speak naturally and provide clear, credible, and usable answers for the edit.

A professional team also protects your schedule by monitoring the footage already captured, the sequences still needed, and any risks that could compromise the production.

5. The initial edit

After filming, the team backs up and organizes the files, listens to the interviews, selects the best sequences, and builds the video. This stage can be much longer than the shoot itself.

The first cut is used to validate the structure, pacing, messaging, and content selection. Certain finishing touches can be added after this structure is approved.

6. Revisions

To speed up the process, designate a point person, consolidate feedback, resolve internal disagreements, and provide specific instructions.

"Make the video more dynamic" is difficult to interpret. "Shorten this answer and show more of the facilities" allows the team to act effectively. A professional process outlines the number of revision cycles and the method for submitting feedback.

7. Finishing and delivery

Once the content is approved, the team performs color correction, sound mixing, animation, title integration, subtitling, quality control, and exporting of the required versions.

The files are then delivered in formats suitable for your website, presentations, social media, or internal platforms.

How much time should you allow?

A simple project can be completed in a few weeks. A production involving multiple locations, many people, or several levels of approval will require more time. Delays often stem less from the filming itself than from pending decisions and scattered feedback.

What a professional partner should bring to the table

Beyond high-quality visuals, you should expect a clear process, honest recommendations, rigorous management, regular communication, solutions to unexpected issues, and deliverables tailored to their actual use.
